  • We are seeking a highly organized and proactive Executive Assistant to streamline the daily operations of our CEO’s office. This role requires a hands-on approach to support the CEO and ensure smooth operations within the company. The ideal candidate will act as a liaison between the CEO and various stakeholders, manage tasks and schedules, coordinate travel and meetings, and handle special projects. This position demands confidentiality, trust, and excellent communication skills.

Responsibilities & Requirements

Coordinate Communication:

  • Act as a liaison between the CEO and internal/external stakeholders.
  • Handle communications, schedule meetings, and uphold confidentiality.
  • Conduct research and follow up on matters within the CEO's portfolio.
  • Coordinate actions and compile information for decision-making.

Task Management:

  • Organize, prioritize, and track tasks and projects for the CEO.
  • Collaborate with various team members and handle confidential information.
  • Ensure timely completion of tasks often under tight deadlines.

Schedule Oversight:

  • Manage the CEO’s calendar meticulously, understanding priorities to suggest efficient scheduling options.
  • Provide reminders and ensure the CEO stays on track with appointments and deadlines.

Travel and Meeting Coordination:

  • Handle all aspects of travel arrangements, ensuring adherence to travel guidelines.
  • Organize meetings, prepare necessary materials, and take minutes.
  • Ensure all participants are well-prepared for meetings.

Financial Tracking:

  • Monitor daily sales performance, chase payments from buyers, and follow up on overdue accounts.
  • Facilitate smooth communication between the CEO’s office and internal departments.
  • Collaborate with department heads to monitor progress towards revenue targets.
  • Maintain confidentiality and support senior management staff.

Special Assignments

  • Take on special projects and perform additional duties as needed by the CEO’s office.
